How to Manage Opportunities

Overview

Managing opportunities in PXME allows you to keep your pipeline organized, track sales outcomes, and streamline workflows. You can update statuses, add custom lost reasons, customize opportunity cards, and even handle invoices and payments directly within opportunities. These tools help you refine your sales strategy, maintain accurate records, and focus on high-value leads.


Part 1: Update Opportunity Status

  • Open the opportunity you want to update.

  • In the pop-up, click the Status dropdown menu.

  • Select the appropriate status:

    • Lost: The lead has informed you they are no longer interested.

    • Abandoned: The lead has not responded or taken action after a set period.

  • Click Update to save changes.

Note: Updating status keeps your pipeline clean and ensures opportunities are categorized correctly.


Part 2: Delete an Opportunity

  • Open the opportunity details.

  • Click the Delete button at the bottom left.

  • Confirm deletion.

⚠️ Important: Deleting an opportunity permanently removes it from PXME and cannot be undone.


Part 3: Managing and Sorting Opportunities

Bulk Actions in Cards View

  • Manage multiple opportunities in Kanban/Card view.

  • When more than 20 opportunities exist, use Select All on Page to quickly select every visible card.

Adding Custom Lost Reasons

  • Drag an opportunity into the Lost column.

  • A pop-up will appear with the option to add a lost reason.

  • Choose a reason from the list, or click Create New Reason to add a custom one.

  • Save changes.

  • Later, filter lost opportunities and analyze reasons to improve sales strategy.

Displaying Engagement Scores

  • Customize opportunity cards and tables to display Engagement Scores, helping prioritize leads based on interaction level.

  • Engagement Scores are also included in opportunity exports for reporting.

Opportunity Routing

  • Open an opportunity.

  • Copy the URL from your browser.

  • Share it with team members for direct access to that specific opportunity.

Customizing Opportunity Cards

  • Click Manage Fields to choose which details appear on cards.

  • Adjust layouts and save changes.

  • Customizations apply at the pipeline level (specific pipelines or all pipelines).


Part 4: Manage Payments within Opportunities

PXME allows you to manage invoices and estimates directly inside an opportunity.

  • Open the Opportunity and go to the Payments Tab.

  • Click Actions → Create Estimate/Invoice.

  • A new page opens with the contact’s details pre-filled.

  • Complete the document and click Send.

Key Notes:

  • Every invoice/estimate created from an opportunity is automatically linked to it.

  • You can filter by invoices or estimates for easier tracking.

  • Workflows that generate invoices/estimates also link them back to opportunities.

    • Review lost opportunities and reasons to identify recurring patterns and refine strategies.

  2. Lead Management

    • Update statuses or delete unviable opportunities to maintain a clean pipeline focused on high-potential leads.

  3. Customized Sales Approach

    • Add lost reasons to understand why deals don’t close and adapt your sales process accordingly.


FAQs – Managing Opportunities

Q1: Can I recover a deleted opportunity?
A: No. Deleted opportunities are permanently removed. Always double-check before confirming deletion.

Q2: When should I mark an opportunity as Lost vs. Abandoned?
A:

  • Lost: If the lead clearly states they are no longer interested.

  • Abandoned: If the lead becomes unresponsive after a reasonable period.

Q3: How can I view lost reasons?
A: Filter by Lost opportunities. The associated reason will be displayed with each record.

Q4: Can I assign multiple lost reasons to one opportunity?
A: Currently, only one lost reason can be assigned. For multiple details, use notes or custom fields.
