Building and managing workflows doesn’t have to be overwhelming. With the Workflow AI Assistant, you get a built-in guide that simplifies setup, suggests actions, and helps optimize your workflows for maximum efficiency. Whether you’re creating your first workflow or refining a complex one, Workflow AI is here to support you every step of the way.


How to Use Workflow AI

1. Access Workflow AI

  • Go to Automation > Workflows.

  • Open an existing workflow or create a new one.

  • In the Workflow Builder, click the Workflow AI icon at the bottom-left corner to open the AI chat box.

2. Start Interacting

Choose from several options:

  • Analyze Workflow – Click Describe this Workflow to get an overview of your current setup.

  • Assist with Building – Click Assist with Building to get suggested actions and triggers.

  • Ask Questions – Type directly into the chat box to ask about workflows, best practices, or settings.

3. Build Your Workflow with AI Guidance

  • Tell Workflow AI your goal (e.g., “I want to send SMS reminders”).

  • Workflow AI will recommend relevant actions and triggers like Send SMS, Set Reminder, or Update Status.

  • Each recommendation includes an explanation of why it’s important and where it fits in your workflow.

4. Configure Suggested Actions

  • Click the “+” button next to any suggestion to add it directly to your workflow.

  • The sidebar will automatically open, allowing you to customize message content, timing, or recipient filters.

5. Review Insights & Adjustments

  • Workflow AI doesn’t just build—it optimizes.

  • It highlights areas for improvement (e.g., unnecessary delays, missing follow-ups).

  • For complex workflows, AI breaks down sections into smaller pieces so you can better understand and adjust them.

6. Monitor with AI Recommendations

  • Workflow AI continues to help after setup.

  • It suggests next steps, such as adding a follow-up email after an SMS reminder.

  • These progressive tips keep your workflows running smoothly and efficiently.

  • Export Chat – Save your Workflow AI conversation to review later.

  • Daily Credits – Each location (sub-account) receives 30 free daily credits. One credit = one question. Credits reset every 24 hours.
