Overview

The In-App Calendar View in PXME provides a centralized display of all scheduled appointments and synced third-party events. Designed for efficiency, it allows you to quickly access and manage your schedule, reduce conflicts, and track both appointments and blocked times—all in one place. This view ensures that providers and staff can stay organized while maintaining full control over daily operations.


Step 1: Using the Calendar

  1. Access the Calendar

    • From your Dashboard menu, open the Calendar to view appointments and blocked time.

    • Use the All filter to display only appointments, only blocked times, or both.

  2. Select Views

    • Choose from Quick Day or Quick Month for fast navigation.

    • Use the Day View to see a horizontal list of all selected users, calendars, or groups.

  3. Choose Users, Calendars, and Groups

    • Display combined schedules by selecting multiple users, calendars, or groups.

  4. Hover for Details

    • Hover over any appointment to see a quick snapshot of event type, time, and details without opening the full event.

  5. Color Code Appointments

    • Assign custom colors to users, groups, or calendars for easier visual organization.

  6. Annotation Key

    • Use the annotation key to understand which color codes correspond to different appointment types or events.


Step 2: Adding Appointments to Your Calendar

  1. Add Appointments

    • Click on a date/time slot in the calendar, or select + New in the top-right corner.

    • Choose Book an Appointment in the popup.

    • Select the Contact, fill in details, and click Book Appointment.

    • The appointment will now appear on your calendar and can be edited or deleted anytime.

  2. Add Blocked Time

    • Select a User or Calendar.

    • (Note: Only Event-type calendars appear here. For other types, select the user directly.)

    • Click on the date/time you want to block.

    • Choose Add Blocked Off Time from the popup.

    • Enter details such as timezone, duration, and a title.

    • Click Block Time to confirm.

  3. This is useful for PTO, vacations, offsite meetings, or general unavailability.

  4. Add & Manage Notes for Appointments

    • Select an appointment and go to the Notes tab.

    • Click Add Note, type your entry, and click Save.

    • Each note is logged with a username and timestamp.

  5. You can also:

    • Edit a Note – update details and save.

    • Delete a Note – remove unnecessary notes.

  6. Types of Notes:

    • User-Added Notes – entered manually by staff.

    • Booker’s Additional Information – data provided by clients during booking.

    • Synced Notes – imported automatically from third-party calendars like Google or Outlook.


Calendar Settings Access

  • Access Calendar Settings directly from the Calendars page by clicking the settings icon.

  • Or navigate via Settings > Calendars.

How do I view my appointments and blocked time?
Go to the Calendar section from the Dashboard to see all appointments and blocked times in one place.

Can I filter my calendar?
Yes. You can filter by appointments only, blocked times only, or both. You can also toggle between Day, Week, and Month views.

How do I add an appointment?
Click on a date/time slot or select New > Book an Appointment. Choose a contact, add details, and save.

How do I block time?
Select a user/calendar, click the desired date/time, choose Add Blocked Off Time, fill in details, and save.

Where do I find Calendar Settings?
