How to Pause Workflows

Managing your automations efficiently is crucial for ensuring leads and patients have a smooth experience, especially during holidays, office closures, or sensitive times. PXME allows you to pause workflows for custom date ranges so automations don’t run when you don’t want them to.


Why Pause Workflows?

Common reasons to pause automations include:

  • National or personal holidays

  • Scheduled downtime or system maintenance

  • Preventing emails or texts from being sent at inappropriate times

With Global Workflow Settings, you can quickly pause and resume automations as needed.


Steps to Pause Workflows in PXME

1. Access Automations

  • Log in to PXME and go to Automation > Workflows.

  • Here you’ll see all your active workflows.

2. Open Global Workflow Settings

  • At the top of the Automation page, click Global Workflow Settings.

  • This is where you’ll manage pause configurations.

3. Enable Pause Workflow

  • In the settings, locate the Pause Workflow option.

  • Turn it on to begin configuring a pause period.

4. Set Date Ranges

  • Add a Start Date/Time for when the workflow(s) should pause.

  • Add an End Date/Time for when they should resume.

  • Note: Each pause range can be a maximum of 15 days.

5. Select Workflows to Pause

  • Choose whether to pause all published workflows or select specific ones.

  • You can pause multiple workflows at once.

6. Add Multiple Date Ranges

  • Click Add Date to set up multiple pause windows.

  • You can create up to 15 date ranges.

  • Use the Annually checkbox if you want workflows to pause on the same dates every year (e.g., holidays).

7. Manage Your Pause Settings

  • Use the Clone icon to duplicate a row item.

  • Use the Delete icon to remove a row item.

  • Paused workflows will display a Paused status on the Workflow landing page for easy identification.

8. Save Your Settings

  • Once finished, click Save.

  • The selected workflows will automatically pause and resume according to your settings.


Additional Notes

  • Only published workflows can be paused (drafts are not affected).

  • Paused workflows will automatically switch to Draft status during the pause period.

  • Make sure date ranges do not overlap for the same workflow.

1. What’s the maximum pause range?
Each pause range can be up to 15 days. For longer periods, create multiple ranges.

2. Can I pause all workflows at once?
Yes. Global Workflow Settings allows you to pause all published workflows or select specific ones.

3. Can I pause a workflow in draft mode?
No. Only published workflows can be paused.

4. What happens during a pause?
Workflows are set to draft and will not send emails, texts, or perform actions until the end date.

5. Can date ranges overlap?
No. Overlapping date ranges are not allowed for the same workflow.

6. Can I edit or delete a pause period?
Yes. Return to Global Workflow Settings to adjust or remove pause ranges anytime.
