Understanding the Workflow History and Status Tabs

Overview

When troubleshooting or analyzing workflow performance in PXME, it’s essential to know where to find detailed records of contact activity. The Status and History tabs inside a workflow provide visibility into how contacts are moving through automation, what actions have fired, and where potential errors may have occurred.


The Status Tab (Execution Logs)

The Execution Logs tab shows what is happening for specific contacts in real time within a workflow.

You’ll find:

  • Contact – Displays the contact currently in the workflow.

  • Action – Shows the step or action the contact is on.

  • Status – Indicates the result of the action (e.g., Completed, Failed, Pending).

  • Executed On – Shows the date and time the action was last executed.

  • More Details – Provides expanded details for troubleshooting (e.g., error messages, context).

  • Execution History – Shows the log of actions taken for a contact during their enrollment in the workflow.

Key Features:

  • Use dropdown menus to filter by status, action, or contact.

  • If a contact has been enrolled multiple times, expand their record using the icon next to their name to see all runs of that workflow.

  • The More Details link is especially useful for diagnosing errors, such as failed emails or skipped steps.


The History Tab (Enrollment History)

The Enrollment History tab gives a broader view of how and when contacts entered the workflow and what their current state is.

You’ll see:

  • Contact – Displays the name, email, or phone number. Hovering reveals quick details, and you can click through directly to their profile.

  • Action – Shows the current or last workflow action for that contact.

  • Next Execution On – Displays the next scheduled action (if applicable).

  • Execution History – Allows you to see the full list of actions taken for that enrollment.

Key Features:

  • Sort and filter by status, action type, or specific contacts.

  • Track how contacts entered the workflow and when their next step will fire.

  • If a contact has multiple enrollments, all entries will be shown, helping you distinguish between runs.

Practical Use Cases

  • Troubleshooting Errors: Use Execution Logs > More Details to identify why an email didn’t send or a condition wasn’t met.

  • Verifying Enrollment Sources: If you’re unsure how a contact entered a workflow, Enrollment History confirms the trigger and entry point.

  • Managing Next Steps: The Next Execution On column lets you confirm when reminders or actions are scheduled to send.
