Overview

To stay compliant with GDPR regulations, you must collect explicit consent before sending marketing or processing personal data. The Custom Checkbox in PXME’s Form Builder lets you capture this consent directly inside your forms, ensuring submissions meet compliance standards.

Step 1: Create a GDPR Checkbox Field

  1. Go to Sites > Forms > Builder > + Add Form

  2. In the Form Builder, click the + icon on the left → switch to Custom Fields → click + Add

  3. Choose Checkbox

  4. Name the field (e.g., GDPR Compliance Checkbox)

  5. Add your GDPR consent statement in the placeholder text

⚠️ Important: Use your own clear, accurate wording for consent. The sample text in training is not legally binding.

Step 2: Make the Checkbox Required

  • Drag the GDPR checkbox into your form

  • Click the field → open Settings Panel

  • Check Required

  • The form cannot be submitted unless the checkbox is selected

Step 3: Create a GDPR Workflow

  1. Go to Workflows

  2. Click Create New Workflow > Start From Scratch

Step 4: Set Up Workflow Trigger

  1. Add a Trigger → select Form Submitted

  2. Choose the form with your GDPR checkbox

  3. Include the GDPR field in the trigger

  4. Save

Step 5: Add If/Else Logic

  1. Add an If/Else condition

  2. Go to Segments > Contact Details → select your GDPR field

  3. Operator = Includes → choose the “Yes” (checked) value

  4. Save

Step 6: Build Yes / No Paths

Yes Path (Compliant)

  • Action: Add Contact Tag

  • Tag: GDPR Compliant

No Path (Non-Compliant)

  • Action: Add Contact Tag

  • Tag: GDPR Non-Compliant

Step 7: Create Smart Lists

  1. Go to Contacts > SmartLists

  2. Filter by Tag → GDPR Compliant

  3. Save as GDPR Compliant List

  4. Repeat for GDPR Non-Compliant

Pro Tips

  • Clear Consent Text: State exactly what users are agreeing to (e.g., marketing emails, data processing).

  • Review Regularly: GDPR requirements evolve—update your consent text as needed.

  • Test Workflows: Submit test forms with both checked and unchecked states.

  • Tag Management: Use consistent naming for easy reporting.

  • Accurate Records: Keep Smart Lists up to date for audits or reporting.
