Forwarding Address and BCC in Email Setup

Overview

PXME provides flexible options to manage how emails are received, forwarded, and copied. These settings ensure your team stays aligned while keeping all communication tracked inside the Conversations tab.


Navigation

  1. Go to Settings > Email Services.

  2. Select the Reply & Forward Settings tab.

  3. Configure one or more of the following options:

    • Forwarding Address

    • Forward to Assigned User

    • BCC Emails

    • Reply Address


Features Explained

1. Forwarding Address

  • All replies from leads always appear in Conversations.

  • To also receive a copy in another inbox, add a forwarding email address.

  • Multiple forwarding addresses are supported (separate with commas):

    email1@test.com, email2@test.com, email3@test.com
  • Note: Replies made from your personal inbox will not sync back into PXME. Always reply within PXME to maintain history.

  • Charges apply for all incoming/outgoing emails (To, CC, BCC) routed via forwarding addresses.


2. Forward to Assigned User

  • When ON, replies from leads are automatically forwarded to the assigned user’s inbox.

  • Ensures the responsible team member always receives communication.

  • Recommended for practices with multiple staff handling different families.


3. BCC Emails

  • Sends a copy of every outbound email to a specified address.

  • Common uses:

    • Compliance archiving

    • Internal monitoring

    • Record-keeping

  • Example:

    records@yourdomain.com

4. Reply Address

  • Defines where replies are sent.

  • Default: Replies go to PXME Conversations.

  • Custom option: Enter a different inbox.

⚠️ Warning: If you set a custom reply-to address, replies will not sync back into PXME Conversations.


Limitations

  • Attachments: Forwarded replies do not include attachments. View them in PXME Conversations.

  • Reply Tracking: Replies made directly from Gmail/Outlook will not sync back.

  • Invalid Emails: Invalid or conflicting forwarding addresses will be rejected and removed.

  • Limits: Up to 5 forwarding or BCC addresses can be added.


FAQs

Q1: What does the BCC Emails option do?
It sends a copy of every outbound email to your chosen address. Useful for compliance, backups, or monitoring.

Q2: Can I change my reply-to address?
Yes. Go to Settings > Email Services > Reply & Forward Settings and update the Reply Address.

Q3: What happens if I change the reply-to address?
Replies will no longer sync into PXME Conversations. They will only exist in your chosen inbox.

Q4: Will replies sync if I respond directly from my inbox?
No. Only replies sent from PXME Conversations sync back into PXME.

Q5: Why aren’t file attachments forwarded?
Forwarding applies only to the body of the email. Attachments can only be viewed in PXME Conversations.

Q6: Why do my forwarding addresses disappear after saving?
PXME automatically removes invalid emails or those conflicting with your dedicated domain setup.
