The Appointment Reporting feature in The Pediatric Experience gives you a complete view of your scheduling performance—helping you track bookings, monitor cancellations, analyze patterns, and optimize team resources.


1. Accessing the Appointment Report

  1. From the left-hand menu, click Reporting.

  2. At the top of the page, select Appointment Report.

The Appointment Report includes several interactive charts and widgets designed to provide both high-level insights and detailed breakdowns:

  • Numeric Charts by Appointment Status – View totals by status (booked, confirmed, cancelled, rescheduled, new, etc.).

  • Top Performing Calendars – Identify which calendars have the highest booking volumes.

  • Top 5 Users by Appointments – See which team members are securing the most appointments.

  • Most Popular Appointment Days – Discover which days of the week generate the most bookings.

  • Top 5 Calendars with Cancellations – Track where cancellations occur most frequently.

  • Top 5 Calendars with Reschedules – Monitor calendars with the highest rescheduling rates.


3. Channel Insights

Gain visibility into appointment sources with channel breakdowns:

  • Channel Donut Chart – Shows which booking sources (forms, calendars, inbound calls, etc.) drive the most appointments.

  • Event Sync Appointments – Represents external calendar events (Google, Outlook, iCloud, Calendly) with at least one attendee synced into the system.


4. Detailed Appointment Lists

For granular analysis:

  • Scroll to the bottom of the report for a detailed list view.

  • Use the status dropdown to filter by booked, cancelled, rescheduled, or confirmed appointments.

  • Click Columns to choose which data points display.

  • Use the Export button to download results into a spreadsheet for further analysis.
