PXME Workshop Checklist

Overview

This checklist guides you through the updated PXME workshop setup process. By following these steps, you ensure that your event details are accurate across all marketing materials, automations, and reminders—while saving time by reducing manual edits.


⚠️ Important: Always record your workshop. If possible, also pre-record a webinar beforehand for backup and future use.


1. Submit Workshop Update Form

Complete and submit the Workshop Update Form (available in your dashboard’s left-hand menu).

This automatically updates your practice’s custom values in PXME, including:

  • Date and time

  • Venue name and address

  • Speaker name

  • Office contact information

  • Other campaign details

Why this matters

Custom values act like smart placeholders across PXME. When set, they automatically update in:

  • Email templates

  • SMS messages

  • Landing pages

  • Thank you pages

  • Automated reminders

✅ Pro Tip: If your workshop date, time, or venue changes, update it once in PXME and it updates everywhere automatically.


2. Update Content (Marketing & Sites)

Emails

  • Go to Marketing → Emails → Templates.

  • Open the Invites, Reminders, and Follow-Ups folders.

  • Edit any templates labeled with [EDIT].

Snippets

  • Go to Marketing → Snippets → Workshop Folder.

  • Edit any SMS or email snippets labeled with [EDIT].

Landing Page & Thank You Page

  • Go to Sites → Funnels → Workshops.

  • Select your Workshop Funnel and click Edit.

  • Update content and imagery.

  • Publish changes:

    • Click Publish → Select Domain → Save, or

    • Click Save → Funnel Settings → Add Domain → Save.


3. Review & Update Remaining Custom Values

Before Workshop

  • Copy your Workshop Funnel link → update Workshop Site custom value.

  • Copy your Workshop Survey link → update Workshop Missed Survey Link custom value.

  • Add your EHR or Sked calendar link → update Appointment Link custom value.

  • Add your About Page link → update About Page Link custom value.

Optional: If You Have a Pre-Recorded Webinar

  • Upload your webinar video in the Webinars → Watch Workshop Webinar funnel.

  • Configure and publish the landing page, add a domain, and copy the link.

  • Paste it into the Workshop Webinar Site custom value.

Right After Workshop

  • Upload your replay to YouTube, Google Drive, or PXME Media Storage.

  • Copy link → paste into Workshop Event Replay Video Link custom value.

  • If no pre-recorded webinar exists, update the Workshop Webinar Site with your replay.

Missed Workshop Email

  • Upload your “doctor explanation” video (example: YouTube sample).

  • Copy link → paste into Doctor Video Link custom value.


4. Review Automations

  • Go to Automations → Workshops → [Select Your Workshop] → 1st Event or 2nd Event → Leads → Lead Sign Up.

  • Open the workflow and:

    • Configure or remove the Slack message action.

    • Configure the Google Sheet action for the current month, or remove if unused.

  • Save the workflow.

⚠️ Common errors are caused by unconfigured Slack or Google Sheet actions.


5. Submit Workshop Audit Form

When everything is updated, submit the Workshop Audit Form (available in the left-hand menu) to confirm your workshop is fully ready for launch.
