2-Way Email Sync for Outlook

Overview

With Outlook 2-way sync in PXME, you can connect your personal Outlook account to send and receive emails seamlessly. All communication stays unified, and records are automatically logged in your CRM for full visibility.


Important Notes

  • The first outbound email to a contact must be sent from PXME to establish the sync thread.

  • Once established, all replies sync both ways (Outlook ↔ PXME).

  • Emails sent directly from Outlook without PXME initiating will not sync.

  • Attachments up to 25 MB are supported (inbound and outbound). Larger files will not sync.


Setting Up Outlook 2-Way Sync

Step 1: Connect Outlook

  1. Go to Settings (bottom-left corner of PXME).

  2. Navigate to My Profile → Email (2-Way Sync).

  3. Select Outlook and click Connect.

Step 2: Authorize Outlook

  1. Sign in to your Outlook account.

  2. Grant PXME the requested permissions.

  3. (Optional) You can change your connected Outlook email at any time without disconnecting first.


How Outlook 2-Way Sync Works

Individual Emails

  • Emails sent from PXME (via your Outlook account) will appear as if they’re sent directly from your Outlook address.

  • Replies from Outlook sync into PXME, keeping the full conversation thread intact.

Bulk Emails

  • If you enter your Outlook email in the From Field, bulk emails will send from Outlook.

  • If left blank, PXME defaults to the account-level sending provider.

  • If you use a different email than your connected Outlook address, PXME will also default to the account-level provider.

Workflows & Automations

  • Workflow/automation emails always send from PXME’s account-level provider, not Outlook sync.


Privacy Controls

PXME ensures better privacy with Outlook sync:

  • Only emails with external contacts (non-PXME system users) sync.

  • Internal or personal emails between team members will not sync.

This keeps CRM records clean and relevant while protecting confidentiality.


Attachment Sync

  • Inbound emails (from contacts to you): Attachments up to 25 MB sync into PXME.

  • Replies: Attachments up to 25 MB now log correctly (previous 5 MB limit removed).

  • Outbound emails from Outlook: Attachments up to 25 MB sync back into PXME.

  • Outbound emails from PXME: Attachments up to 25 MB sync into Outlook.


FAQs

1. What happens if I disconnect the sync?
All active and future threads stop syncing. Emails sent from PXME will no longer sync with Outlook.

2. Can I use a different email ID for bulk sends?
Yes. If you enter a different email in the From Field, PXME uses the account-level provider instead of Outlook.

3. Are there attachment limits?
Yes. Attachments up to 25 MB sync both ways. Larger files won’t sync.

4. Will personal emails between PXME users sync?
No. Emails between PXME system users (e.g., team members) are excluded from sync for privacy.
